Tenant Services Coordinator

Position Summary:

OVERVIEW
Is the property liaison between tenants and property management team, including key vendors. Provides administrative support to the property to include but not limited to accounts payable, accounts receivable, tenant relations and services, contracted services and lease administration.

RESPONSIBILITIES

  • Property Liaison: Acts as an effective liaison between tenants and building engineers, security and housekeeping by communicating proper information, ensuring tenant requests are resolved in a timely and professional manner. 
  • Greeter: Answers telephones, and greets guests and visitors to the management office, exhibiting a professional, mature, courteous, gracious and efficient manner.
  • Provides direct support to the General Manager and/or Assistant General Manager.
  • Responsible for the overall cleanliness of the common areas including reception, lobby and or building managed conference room areas. 
  • Accounts Payables: Tenant Service Coordinator (TSC) may be responsible for ensuring all invoices for the property are coded, given to proper Manager for approval and paid.  When checks are sent to the property from CAS, TSC must verify check information matches invoice, return invoice stub and attached to check and mail out accordingly.
  • Accounts Receivable: Prints Aged Delinquency report on the designated day each month.  Responsible for sending delinquency letters for charges over 30 days old. Track delinquencies not received in 10 days and report the information to the manager in order to discuss next steps.
  • Servidyne / Energy Star – Provide copies of utility invoices or information to either Servidyne or Energy Star on a monthly basis (electricity & water usages/cost).
  • Tracks and maintains Certificates of Insurance.
  • Responsible for notifying tenants and vendors of expired COI's and COI requirements via letters.
  • Tenant Events: Responsible for planning and coordination of all schedule tenant events at the property.
  • Tenant Meetings: Plans agenda for meetings and have approved by Manager.  Set up lunch for Tenant and Property Manager to discuss pertinent building issues (should be at least 1 per quarter).
  • Assisting in Move-In/Move-Out processes and procedures; including issuing or retrieving FOB-keys, emergency handbooks, and other relevant information.
  • Handle any tenant issues regarding maintenance or service requests quickly, passing along urgent matter to General Manager or Chief Engineer, when appropriate.  Daily track response times and satisfactory closure.  Report on trends and improvements at staff meeting.
  • Manual Adjustment Forms: Required to prepare manual adjustment forms for all miscellaneous Tenant Service Requests (i.e., requested special services, keys, etc.).
  • Generates contracts for services at the property per the direction and input of the Chief Engineer and General Manager.
  • Assists the General Manager and/or Assistant General Manager in preparation of the annual asset plan and budget.
  • Compliance Excellence Program:  Assists management team as needed to ensure compliance level of industrial compliance excellence program, including maintaining and preparing all files and records in preparation for the quarterly elements of the annual program.
  • Contact Lists: Maintains daily and update no less than monthly tenant, employee and contractor’s contacts lists to include emergency contact numbers.
  • 4Sight:  No less than monthly, TSC should update all assigned sections of the property’s 4-sight website to include but not limited to emergency contacts, space utilization module, table top information, etc.
  • Safety Warden Meetings:  Works with Manager and Engineering staff to plan an annual safety warden meeting. Assists in updating emergency procedures and all required documentation for the meeting.
  • Other duties as assigned by the General Manager and/or Assistant General Manager.
 
QUALIFICATIONS
  • Individuals with proven customer service skills and leadership potential. 
  • High school diploma or general education degree (GED). 
  • Associates or Bachelor degree a plus, or one to three months related experience and/or training; or equivalent combination of education and experience.
  • Microsoft Office proficiency.
  • Workplace experience a plus. 
  • Commercial Real Estate Experience a plus
  • Ability to work, on occasion, flexible hours which may exceed 8 hours in a day, 5 days in a week or 40 hours in a week.
