This position manages and executes move management services, occupancy planning responsibilities, and assigned projects with a team of 2-3 Senior MAC Managers. The position manages the space and environmental needs of corporate business units through cost-effective design, space planning, occupancy planning, furniture procurement, construction management, project management, and personnel and furniture relocations.
GOALS
Manage the research of project design data, develop schematic documents that address user needs and pre-established facility design standards, and develop and execute written documentation necessary for construction and relocations.
Identify, procure, and manage installation labor for employee relocations, office equipment, furniture, finishes, and building products as required.
Establish and maintain effective outside vendor relationships as required for execution of projects.
Provide field supervision of contractors, review and authorize contractor time sheets and invoices. Evaluate contractors or vendors to ensure compliance with standards of performance.
Select, train, and manage any consulting firms hired to execute projects where the scope exceeds the department's staffing.
Create RFP’s and bid solicitations, contracts, and award analyses.
Perform data input and ensure data accuracy using Auto Cad to Keep the CAFM Facilities Management database current for building, employee, and occupancy information.
Develop, implement, and maintain corporate building office policy standards and incorporate JLL best practices and policies.
Aid in development and presentation of short range and long-range, strategic site master plans.
Receive and process client furniture, space planning, occupancy planning and relocation requests
Integrate & manage other corporate support teams (IT, HR, Corp Communications, Telephone, Security, Operations) for a successful project outcome
Develop, implement, and adhere to project schedule and budget
Develop, prepare, update, and deliver project specific reporting. Process purchase orders and invoices, update tracking reports and maintain files for due diligence and to meet assigned financial targets
Utilize corporate project cost control systems and ensure project
RESPONSIBILITIES | MOVE MANAGEMENT
Manage all MAC activities on account or large project
Successfully plan and manage large (1000 plus people) move management projects
Ensure client satisfaction throughout the move management process
Proactively manage project-related issues on account or assignment.
Ensure operations manual is in place and updated on account
Provide a single point of contact for all move management activities
Facilitate a project kick-off meeting with internal staff and key stakeholders to ensure responsibilities are communicated and understood by all concerned.
Ensure all move management activities are performed in a manner consistent with documented processes
Ensure compliance with all key performance indicators
Provide superior employee management
Participates in planning meetings hosted by the client, Occupancy Planning and other key stakeholders
Establish move project goals and objectives, making changes where necessary to ensure desired project results
Demonstrate a proactive focus on meeting client and project requirements in a timely and cost effective manner
Initiate and manage meetings to review move schedules with move vendors and key stakeholders
Identify and address areas of concern regarding potential liabilities and risk
Ensure move processes are managed in accordance with the client’s and Jones Lang LaSalle’s policies and procedures
Comply with all Jones Lang LaSalle policies and procedures, including but not limited to time & expenses, ethics and business practice.
RESPONSIBILITIES | OCCUPANCY PLANNING
Regularly meet with key customer contacts to determine and understand customer policies and other specific occupancy-related needs
Review current space requirements and forecast future real estate demand using customized tools and methods and interviews with senior business executives to assess the strategy and requirements of their needs
Prepare integrated business unit portfolio strategies to identify leveraging opportunities between like requirements and functions (e.g., lab consolidation).
Develop and implement processes to periodically evaluate and refine the alignment of the real estate strategy with business unit strategies.
Conduct supply/demand analysis for impacted locations. Measure and report on existing real estate supply in the context of current and projected business unit demand. Analyze misalignments between demand and supply with regard to amount, location, cost, function, quality and other factors.
