Performing day-to-day oversight/monitoring of work order completion and follow-up with service provider and client
Manage/coordinate service providers
Ensure all site management and operation practices are in compliance with company and client standards.
Cultivate and maintain a positive working relationship with client representatives (JLL or external) and service providers.
Managing third party COIs and landlord related issues
Coordinate and provide overall performance reporting
Responsible for maintenance and upkeep of the front office, reception area and all meeting & conference rooms in the client area – the areas to be clean and presentable at all times. Ensure compliance of regulations / requirements of client
Assist with employee on-boarding tasks
Assist with responses to Customer Audits
Complete and update reports and various records (ie, seating charts and security forms)
Assist with “clean desk” inspections
Provide assistance in general administrative activities and any other duties as assigned by the Account Lead
Receive invoices and code appropriately, with submission to approvers for processing.
Track invoice through payment process to ensure timely payment to service providers.
Office supply and Coffee/Vending ordering and stocking.
Assist with completion of presentations for leadership meetings, e.g. PowerPoint presentation for Town Halls
Organize and drive Employee Action Committee (EAC)
Assist with record coordination with the guidance of the client
Additional tasks as needed to support the business.
Required Qualifications & Experience
KEY PERFORMANCE MEASURES
At least 2 to 3 years in similar role is required
Minimum twelve (12) months experience in a corporate environment
Prior experience in facilities, property management, hospitality or related field preferred
Must present a professional and friendly corporate image to clients
Confidently interact with all levels of the organization from Head of Department to Cleaning contractors
Ability to interact well within a team and learn new systems quickly
Present a professional and friendly corporate image to associates, customers and vendors
Customer focused with assertive and self-confident personality.
Solid knowledge in Microsoft office suite, inclusive of Excel, PowerPoint, Word and Outlook.
Ability to multi-task in a priority changing environment
Basic knowledge of building repair and maintenance
