Position Summary:

Job Title: Receptionist
   
Department: Integrated Facilities Management
   
Reporting Relationship: Assistant Facilities Manager
   
Duties and Responsibilities:
  • Reception coverage as per client's working hours
  • Responsible for handling of incoming and outgoing calls
  • Receive, inform, guide visitors including co-ordination with client’s employees
  • Conference room & meeting room scheduling and management
  • Catering ordering and setup
  • Attend to visitors and maintain visitor log
  • Responsible for maintenance and upkeep of the front office, reception area and all meeting & conference rooms in the client area – the areas to be clean and presentable at all times. Ensure compliance of regulations / requirements of client
  • Provide assistance in general administrative activities and any other duties as assigned by the Assistant Facility Manager
  • Assist in coverage for AFM when schedule changes or on PTO.
  • Receive invoices and code appropriately, with submission to approvers for processing.
  • Office supply coordination
  • Assist with employee onboarding tasks
  • Assist with completion of presentations for leadership meetings, e.g.PowerPoint presentation for Town Halls.
  • Organize and drive Employee Action Committee (EAC)
  • Assist with responses to Customer Audits
  • Oversee and coordinate BCP and DR plans
  • Complete and update reports and various records (i.e., seating charts and security forms)
  • Assist with “clean desk” inspections
  • Assist with record coordination (i.e., lead annual reviews, manage inactive records, etc.)
  • Additional tasks as needed to support the business.
   
Required Qualifications and Experience:
  • High School diploma or G.E.D. equivalent is required.
  • An Associate’s degree or higher in a related field of study is a plus.
  • At least 2 to 3 years in similar role is required.
  • Minimum twelve (12) months experience in a corporate environment
  • Prior experience in facilities, property management, hospitality or related field preferred
  • Must present a professional and friendly corporate image to clients
  • Confidently interact with all levels of the organization from Head of Department to Cleaning contractors
  • Ability to interact well within a team and learn new systems quickly
  • Present a professional and friendly corporate image to associates, customers and vendors
  • Customer focused with assertive and self-confident personality.
  • Solid knowledge in Microsoft office suite, inclusive of Excel, PowerPoint, Word and Outlook.
  • Ability to multi-task in a priority changing environment
