Computerized Maintenance Management System Administrator & Data Integration Manager

Overview: This position is responsible for implementation and support of the CMMS (Computerized Maintenance Management System)  for the Jones Lang LaSalle Time Warner account. The position will also be responsible for the development, implementation, integration, and management of information systems and associated tools that support the Time Warner portfolio.  This position provides the critical data needed to track Key Performance Indicators and analyze team performance, comparing against targets and benchmarks.   The incumbent coordinates the daily operations of the system(s) and is responsible to assure the consistent application of the established policies and procedures across the entire portfolio.  Scheduling and planning of task orders and arranging proposals according to procurement policy is also a requirement as it relates to job plans.
 
 
Reports to: National Engineering Operations Manager matrixes to the account’s CRM
 
Supervises: No direct reports; however, matrix management of Chief Engineers and Assistants Chief Engineers via Facility Managers.
 
Organizational Relationships:  Routinely interacts with application users, including Site Leads, Operations/Maintenance Manager(s), Reliability Maintenance Engineer(s) (RME),  Facility Manager(s), Engineers/Maintenance Technicians, Move Plan Coordinators, Performance manager and Service Center Administrators as applicable.
Frequently interacts with internal IT support and external application software vendors.
 
Location: Atlanta or New York City

Duties and Responsibilities for CMMS
 

  1. Time Warner account administrator for the CMMS system
  2. Work with the CMMS programmers to implement system updates.
  3. Set levels of access and develop an information security strategy for the system
  4. Serve as the access control official for the CMMS system 
  5. Set up and assist in designing CMMS reports.
  6. Coordinate input of personnel information into CMMS system for each site.
  7. Establish a team to develop common maintenance task descriptions and completion intervals in order to make them uniform throughout the account.
  8. Develop common naming regimen and abbreviations for infrastructure equipment.
  9. Make the CMMS inventory module available for applicable sites.
  10. Set up and provide instructions for sub-contractor weekly time input for work orders/projects at applicable sites
  11. Set up and provide instructions for operations personnel labor weekly time input
  12. Set up asset lists in and coordinate annual reviews for accuracy
  13. Provide support to the operating staff for quarterly updates and changes to  preventive maintenance tasks.
  14. Train New Chief engineers and personnel on the CMMS system
  15. Enter ALL Purchase Orders into CMMS system that are associated with a work request so all charges can be captured for audit and reporting purposes at applicable sites.
  16. Develop a process, in conjunction with the Sourcing Manager for the account, to keep the vendor database and Call Center software system updated.
  17. Assist with transition of client sites when required for the in scope portfolio
  18. Support the account team users with general questions and other systems support requests.
  19. Requesting User IDs and passwords for new users via OVID Process
  20. Request system changes via Corrigo Data Governance Process
  21. Provide new user training, advanced user training and new feature training to the account and client staff as required.
  22. Configuration of system notification messages
  23. Develop and deploy inspection forms supporting the building engineering team.
 
Miscellaneous
 
  1. Develop and keep updated an administrative Continuity Book with instruction/directions and procedures for all major duties
  2. Verify Cost Centers, Work Order numbers and other cost components are accurately updated
  3. Interface with Time Warner associates on status of requests or help them with the process of inputting a work request
 
Reports
  1. Develop an action tracker for monitoring CMMS implementation progress by site
  2. On a monthly basis—coordinate review of open preventive maintenance and client request work orders with the Chief Engineers.
  3. Create and maintain  tool for monthly Key Performance Indicators (Scorecard Reporting) and conduct analysis against targets and benchmarks.
  4. Develop training topics and track completion of training for each individual on the account.
  5. Develop incident tracking and aging report
 
Financial Data Management
 
  1. Create and maintain SharePoint Tracker to timely and accurately track, manage, and report on Cost Savings initiatives.
  2. Define system requirements for SharePoint Analytics and work with information systems personnel to develop integrated accounting and financial management tracking and reporting systems.  Provide initial and on-going support.
  3. Technically support Finance Team’s budget tool selection as needed. 
  4. Administer setup of any client required file feeds and ongoing maintenance.
  5. Build a consistent program across all business lines
 
Administration Data Management
 
  1. Serve as the SharePoint Content Manager.
  2. Serve as the Delphi Content Manager
  3. Maintain accurate property and personnel lists for portfolio including staff directory, emergency call lists, etc.
  4. Facilitate PC hardware and software procurement process.
  5. Facilitate telecom equipment procurement process (cell phones, PDAs, radios, etc.)  
  6. Serve as liaison with JLL and client IT, field staff and client representatives.
  7. Provide 1st level IT support for software and hardware related issues and ensure that the team has access to the necessary systems and training.
  8. Coordinate and manage projects which require on-going client data improvements and/or new system enhancement and data implementation.
  9. Understand all new system enhancements and internal releases.
  10. Understand the overall business process and how accuracy of data is essential.
  11. Ad hoc reporting to the client/management team as required.
  12. Other functions as required by manager.
 
Call Center software system / Call Center
 
  1. Work with Call Center on problems and concerns with work requests
  2. Periodically audit Call Center software system reports in My Facility/ Report Wizard against reports in CMMS system to verify tickets are being processed properly and the systems continue to communicate with one another.
  3. Coordinate with call center manager all new site data implementations needed within CMMS system and Call Center software system operating systems.
  4. Perform database changes and communicate database needs and enhancements/ modifications to call center manager.

Skills/Qualifications

  • College degree preferred
  • 2-3 years experience in a data management and Customer Service environment
  • Technically proficient in use of Microsoft Office Products:  Excel, Word, Access
  • Strong  systems experience including understanding of CRM systems
  • Financial acumen with strong attention to detail coupled with excellent analytical skills
  • Customer service oriented with strong verbal and written communication skills
  • Good organizational skills with ability to multi-task and prioritize
  • Logical thinker with good common sense
  • Flexible and adaptable to policy changes
  • Ability to work within a team as well as independently
  • Experience with Corrigo, Maximo and MP2 a plus.
