The Director of Facilities is responsible for setting the strategic direction and managing the team that manages the day-to-day facilities related activities for the store locations. In addition, this role will lead the vendor management selection process to ensure accountability and proper execution.
Job Duties
· Manage up to 5 Facility Analysts who manage the day-to-day facilities activities at Aaron’s locations and ensure timely response and execution of repairs.
· Evaluate and update policies and procedures as needed to improve processes and stay in compliance with audit requirements.
· Responsible for work order management which entails properly handling escalations from Aaron’s locations and/or vendors, thoroughly reviewing and approving quotes and invoices, managing warranty claims, and ensuring proper close out of work orders.
· Upon escalation, provide guidance and direction to internal team regarding any Landlord related maintenance issues.
· Responsible for the financial and operational management of repair accounts such as developing maintenance budgets, managing budgets, forecasts, variance analysis and work order metrics.
· Execute Facilities programs such as preventative maintenance, waste removal and pest control.
· Manage reporting that is provided by the work order management system (and in some cases develop ad hoc reporting) to analyze trends, identify outliers, and resolve issues.
· Responsible for overall vendor management, which includes developing performance reporting and scorecards, frequent business reviews to discuss performance, and holding vendors accountable to service level agreements and scopes of work.
· Investigate and negotiate favorable rates and terms for procurement of electric and gas in deregulated markets.
Required Skills
· Project and budget management experience.
· Demonstrated ability to lead, manage, and direct the activities of others towards the accomplishment of goals.
· Strategic in nature with the ability to create and present business cases, reporting and analysis to support optimal decision making.
· Experience working with work order management systems, preferably fmPilot2 by FacilitySource.
· Effective communication skills with a proven ability to communicate across the organization, including executive management.
· Strong customer service skills.
Education & Experience
· Bachelor’s degree in Business, Finance, or other related field from an accredited university.
· 5 years of relevant job experience in an operational or facilities related field, with a minimum of 3 years in a supervisory role.
· Strong knowledge of Microsoft Office package (with emphasis on MS Excel).
