The Lease Administrator is responsible for the integrity of Aaron’s corporate real estate portfolio leasing data. Primary responsibilities include managing Aaron’s corporate tenant and landlord relationships, collecting, reviewing and inputting lease data into Aaron’s corporate real estate lease administration and project management tool (Lucernex), and auditing lease accounts.
Job Duties
· Processes property documentation pertaining to Aaron’s corporate properties and real estate agreements including interpreting, summarizing and abstracting lease points into the database and setting up real estate accounting expenses for automatic payments.
o Responsible for abstracting new leases, amendments, and other lease documents’ key covenants, terms and notice information.
o Review and interpret lease terms, outlining Aaron’s responsibilities for reimbursement of maintenance, real estate taxes and insurance.
o Maintain lease files and integrity of the data contained in Aaron’s lease administration and real estate accounting database application.
· Provides administrate support to Aaron’s corporate real estate and legal groups. Activities include:
o Assist real estate, construction, and facilities groups with reporting and data entry projects as necessary.
o Maintain the database of property management and landlord contact, mailing address and payment information for Aaron’s corporate real estate portfolio.
o Provide billing statements for Aaron’s corporate income tenants.
· Performs lease audits on Aaron’s real estate accounting reconciling landlord reimbursement charges for common area maintenance, real estate tax, and insurance.
o Audit documents such as invoices, statements, amendments to leases and other correspondence from the landlord, as well as data from other sources, to determine whether charges assessed by the landlord under a tenant’s lease are accurate.
o Maintain a healthy line of communication while negotiating reductions in expenses and reconciling accounts with the property manager or landlord.
o Prepare and process payment request information for the real estate accounting group.
· Works with the legal department to understand relevant lease terms and any deviations from Aaron’s standard lease terms.
Required Skills
· Excellent lease interpretation, analytical, research, communication, negotiation, organizational and time-management skills.
· Ability to learn new concepts quickly.
· Proficiency in computer information systems and an intuitive understanding of Microsoft Excel.
· Proficiency in real estate database applications such as Accruent, Prolease, Virtual Premise, or Lucernex.
· Strong attention to detail.
Education & Experience
· General Knowledge with ledgers, assets and liabilities, realty tax assessment, real estate laws, leasing practice and lease language.
· Preferred candidates will have a minimum of 3 years’ experience in the commercial real estate lease administration industry and/or accounting and property management fields with experience in either (or both) the landlord and tenant sectors.
· Bachelor’s degree in business, accounting, real estate, finance, or similar field preferred.
